Give your company a shared memory.

The useful part is knowing which information to trust, where to find it and who keeps it current.

Separate the record from the tool

Your company context, decisions and operating rules need a durable home. Original documents and large files can remain in shared storage. The website and software have a different job: they deliver the experience.

Keep one original and a reliable pointer

Record the source file’s stable link, its owner and its date. A copied document without that context can easily become a competing version of the truth.

Make status explicit

A proposal is not an agreement. An invoice is not a payment. A prepared page is not a live website. Use language that makes it clear what has actually happened.

Decide who may see and change what

Company-wide knowledge and private client records need different boundaries. A document being reachable does not mean every person or automation should use it. Record approved access before connecting a workflow.

Close the update loop

  1. Capture the new information with its source.
  2. Check whether it changes an existing fact or decision.
  3. Update the owning record and preserve the source date.
  4. Assign the next action to a person.
  5. Share a useful summary with the relevant team.

A searchable index is a starting point. Keeping knowledge current is an operating responsibility.
